Guidelines for the College President's Recognition of Excellence Award
Support
Non Exempt Employees (SNE)


Purpose:
  • Support employee excellence in a College setting is more than an individual’s ability to perform his/her job responsibilities in a competent and capable manner.  Competent Support employees are expected to display satisfactory job performance; however, excellent Support employees choose to achieve a higher level of performance and productivity.  Excellent Support employees at Miami Dade College perform job responsibilities and produce quality work at a level higher than competency requires.  They work together with students, faculty, administrators, and other support staff to contribute to a positive climate that fosters effective teaching and learning by performing their assigned duties at a consistently high level of quality. In addition, some candidates may also volunteer their time to support Campus and/or College-wide committees, and/or perform community service, and/or pursue continued professional growth through education.  Supervisors are given the opportunity, through this award, to recognize the efforts of their employees.

Procedure:
  1. The supervisor, self-nomination or other individual nominating a support non exempt personnel can initiate the Excellence Award process. Employees may solicit their nomination via a written request to their immediate supervisor in bullet or narrative form, or by completing the Support Non Exempt Employee Excellence Award application. The supervisor is responsible for making the final determination on  which nominations go forward.
  2. The Excellence Award review cycle is from July 1 of each year to June 30 of the following year.
  3. The Excellence Award can be received no more than three (3) times within the last five (5) years. Employees become eligible again after the fifth year of the Excellence Award cycle.
  4. By early July, the Division of Human Resources places program material on the HR Guidelines & Processes website with a follow-up e-mail message to all supervisors and support staff employees.
  5. Applications must be typed (12 pt.) in the space provided. Questions regarding the application process should be directed to your CTD Campus Coordinator or Greg Sharp for individual assistance in understanding the process and/or completing the Excellence Award application form.
  6. Applicants will be evaluated for the quality and consistency of performance of assigned duties. The Excellence Award document must be authentic and accurately reflect the applicant’s commitment to excellence.
  7. Completed applications/nominations are to be submitted to the immediate supervisor’s office by early August.
  8. No later than mid-August, a committee consisting of three to five persons, one of whom will be an administrator, will be formed for each campus and/or district division to confirm eligibility for the award.  The charge of this Committee will be to review each candidate and certify that they are eligible to receive an Excellence Award.  The Support Staff Council President from that campus will chair the campus committee. District areas will select their own committee/chairperson.
  9. Excellence Award Committees review and forward eligible recommendations with completed application and documentation to the appropriate Area Heads by the end of August.

Eligibility for Excellence Award:

  • Completion of two (2) consecutive years of full-time employment in a SNE position with at least one (1) year in the same position prior to April 1st of the current year.
  • Copies of performance evaluation documents for the two (2) prior years must be included.
  • Copy of the current job description must be attached.

Indicators of Excellence:

  1. A minimum of sixty percent (4 of 7 items) of the areas rated on the Annual Performance Review must be rated as follows or higher. There can be no ratings of 1 or 2 in any of the areas being rated.
  • QUALITY OF WORK:  “Is almost always accurate”;

  • QUANTITY OF WORK:  “Very industrious, does more than required”;

  • JOB KNOWLEDGE:  “Understands all phases of work”;

  • SUPERVISION: “ Requires little supervision, is reliable when working alone”;

  • SUPERVISORY RESPONSIBILITY OVER OTHER EMPLOYEES:  “Satisfactory, has good leadership capabilities”;

  • ATTITUDE:  “Cooperative, tolerant, able to work with others to accomplish tasks”;

  • ATTENDANCE AND PUNCTUALITY:  “Very prompt, regular in attendance”

 

  1. Evidence of continuing professional or personal development; attendance at workshop(s), seminars, licensing, degree or non-degree seeking programs of higher education (college or university).
     
  2. Applicant/Supervisor Narrative

For the period being reviewed, the applicant may expand upon criteria listed above and/or can give examples of excellent performance relative to a minimum of three categories in the Statement of Support Staff Excellence:  Motivation, Professional Performance, Interpersonal Skills, Knowledge Base and Leadership/Supervision.  This narrative provides support staff employees the opportunity to illustrate both the quality and consistency of his/her excellent performance. 

The Supervisor will also add a narrative for those candidates being recommended.

Optional

  1. Evidence of professional or personal community related honors, awards, commendations, thank you letters, etc.
  2. Evidence of active involvement in community, campus and college-wide committees, programs, events, etc.

Selection

  1. Immediate supervisor will complete the Supervisor's Narrative for those candidates being recommended and forward same through the administrative channels to the Area Heads (by mid-August), who will then share with the Campus/District Committee chaired by the Support Staff Council President/District representative. 
  2. The Support Staff Council President and committee will review all applications to determine eligibility and submit the names of those that meet the eligibility criteria to the appropriate Area Heads (by late August).
  3. The respective Area Heads will confer with the Administrative Team or Primary Directors, whichever is appropriate, and make final nominations to the appropriate College Provost and/or the College President by the end of August.

  4. Nominations with all documentation is sent to Human Resources in early September.
  5. By mid September, the College President approves the Excellence Awards recipients, and Human Resources communicates the approval to the respective Area Heads.
  6. By end of September, the Area Heads provide written notification of Excellence Awards status to all applicants.
  7. The number of Excellence Awards shall not exceed more than 15% of the support non-exempt personnel assigned to the campus/district area. The 15% figure will be determined by the highest whole number. As an example, percentages of 11.5 and 11.9 will equate to 12 possible recipients. Percentages less than 1.0 will be rounded to 1.
