Veterans Affairs Certification Process

VA Students must do the following each term for Chapters 30, 31, 33, 35, 1606 & 1607:

  1. Register for classes and get a validated (paid) schedule by payment due date on class schedule.

    NOTE: A deferment option is available once per academic year to Veterans only (not dependents or spouses) with no prior obligation(s).
  2. VA Students must review their final schedule prior to submitting it to the VA Certifying Official, and ensure that the following items have been done:
    1. All enrolled courses must count toward the VA Student’s degree, as required for graduation (any out-of-program courses, excess credits for graduation, and credits not accepted toward a degree are not eligible for MGIB benefits except the following:  College Prep courses, SLS courses and MAT 1033). The only time students can take non-eligible MGIB credit courses will be during the last semester of graduation. See an Academic Advisor for assistance with registering for courses toward your declared program of study.
    2. Any changes of term schedule due to adding, switching, dropping, cancellation of class(es), or instructor drops (IW) by department or student action, must be reported to the MDC VA Certifying Official immediately--not later than 10 days of the date of the change.

      NOTE: Failure to do so will result in the VA Student’s non-compliance with VA regulations being reported to the Atlanta VA Processing Center, where further sanctions might be applied.
      It is not enough to verify a change to VA via the monthly verifications, as the VA will not process a change until it is reported and certified by the MDC VA Certifying Official.
  3.  To process your claim, you may e-mail, call, or bring in a printout of your FINAL schedule to your MDC campus VA Certifying Official.
  4. Chapters 1606/07 and 30 are required by VA to verify each term enrollment by phone 1-877-823-2378 or via the VA W.A.V.E. web site www.gibill.va.gov at the end of each month. VA will NOT process the monthly benefit check until they confirm the student’s monthly verification. Once VA has your monthly verification, the check will be processed within 7-10 business days for direct deposit or checks mailed via the U.S. Postal Service.
  5. A Program or campus change requires notification via the completion of a 22-1995 form (22-5495 form for Chapter 35 dependent/spouses) through the MDC Certifying Official ONLY. MDC advisors can ONLY advise, but do not have access to change the program of study on file for VA students.
  6. MDC Certifying Officials can extend payment deadlines up until the refund date. Your class schedule must be in a paid status by the payment deadline, or classes will be dropped.
  7. VA Students experiencing difficulty paying for their current term class schedule are encouraged to apply for Financial Aid as a second option. This will make the VA Student eligible to be considered for a Financial Aid short term loan. Even if you do not qualify for Federal Financial Aid, once you complete a FAFSA, you become eligible to be considered for a short term loan. When you apply for a short term loan, let the Financial Aid personnel know you are a VA Student. A non-refundable processing fee will be applied to this loan at the time of issue.
