Archiving folders in Outlook - Lesson one

You can manually transfer old items to a storage file by clicking Archive on the File menu, or you can have old items automatically transferred by using AutoArchive. 

Once a folder is archived, the items (email messages), are removed from the Exchange Server and accessed from your hard drive or network drive.  If you archive to your network (H:) drive, you can open and access your archived items from any workstation where you can log on with your network ID/ 

Items in Archived folders that are opened in Outlook can be read, deleted, forwarded, printed, moved, ..... In other words, treated just like any item that is still in your Inbox.

To Archive folders manually:

What You Do What Happens
1.  From the File Menu, choose Archive. The Archive window appears allowing you to choose a folder to archived, a date and a location for the .pst file that will store your items.
2. Select Archive this folder and all subfolders.

Choose the folder to be archived by clicking on it.  

Select the date that will be used to archive items.

Browse to the H: drive and create the file archive.pst (or whatever you choose to name this file) - This will save all your archived items to your H drive

Click OK

 

 

This will archive the selected folders and any subfolder according to the date specified in the date box.

Repeat for any folders you wish to archive.
