Standards of Academic Progress

How do you keep your financial aid?

  • Maintain a Grade Point Average (GPA) of 2.0 or higher.
    (see chart below for minimum requirements)
  • Complete 2/3 of all classes attempted.
  • Complete your degree or certificate within the maximum timeframe, which is 150% of the credits required for the program (for example,  an associate degree that requires 60 credit hours must be completed within 90 attempted credit hours).
  • Read and understand MDC's Standards of Satisfactory Academic Progress Policy.

Required Minimum 2/3 Completion Rate Formula

Attempted Credits Multiplied by 2/3 = Minimum credits required to be completed

Example: 15 credits x 2/3 = 10 credits required

Financial Aid Standards of Satisfactory Academic Progress at MDC

Federal regulations require the College to establish and apply reasonable standards of Satisfactory Academic Progress (SAP) for the purpose of the receipt of financial assistance under the programs authorized by Title IV of the Higher Education Act.  The programs subject to this rule include, but are not limited to: Federal Pell Grant, Federal Supplemental Educational Opportunity Grant, Federal Work-Study, Federal Perkins Loans, Federal Stafford Loans (Subsidized and Unsubsidized), Federal PLUS (Parent) loans, TEACH Grant, and some state and institutional aid. Failure to meet the requirements listed below will result in the suspension of financial-aid eligibility.

Frequency of Monitoring

Financial Aid Standards of Satisfactory Academic Progress are reviewed annually at the end of the spring term. If you are admitted to a program of study that is one year or shorter in length, your progress will be evaluated at the end of every term.  If you are admitted to any clock-hour/vocational program of study, you will also be evaluated at the end of every term. 

Transfer Credits

All enrollment periods are considered when calculating academic progress, including periods in which you did not receive federal financial assistance. Transfer credits that are accepted toward your program of study will also be considered in the calculation of your academic progress.

Degree or Program of Study

Your program of study is important in determining your eligibility for financial aid and the calculation of Satisfactory Academic Progress.  The program of study that you are enrolled in during the spring term of every year will be used to calculate your academic progress. If you are a new student who begins classes after the start of the spring term, your current program of study will be used to calculate your academic progress.

Summer Awards and Standards of Academic Progress (SAP) Review

Because enrollment for the summer semester begins before spring grades are available to review, you will be awarded financial aid prior to your Standards of Academic Progress (SAP) evaluation at the end of the spring term.  However, all summer awards are tentative and subject to the official SAP evaluation at the end of the spring term. If you do not meet SAP requirements, your summer awards will be cancelled.  

Completion Rate and GPA calculation

For GPA purposes, the cumulative GPA is calculated using the following grades: A, B, C, D, F and U. Grades of I, S, P, NR and W do not affect your cumulative GPA.

For completion-rate purposes, all attempted credit hours are used in the calculation.   However, the grades of F, U, W, I and NR will not count as a successfully completed credit.

Any changes to your academic history may affect your completion rate and GPA calculation.

Developmental or Remedial Credits

A maximum of 30 developmental or remedial credits may be paid by financial aid. If your placement scores indicate the need for developmental education courses and you decline the option of taking developmental education, this decision may affect your academic progress and is not considered a basis for appealing for reinstatement of financial aid.  Therefore, if you do not pass your chosen college-level courses successfully, it will impact your academic progress at the College and may prevent you from receiving future financial aid awards.

Changing Academic Programs

Multiple changes to your program of study will negatively impact your academic progress. These changes will result in the accumulation of credits that exceed the maximum timeframe permitted for completion of your program. Taking courses that do not apply towards your program of study will also result in the accumulation of credits that may exceed the maximum timeframe permitted to complete your program of study. 

Academic Amnesty

The College's Academic Amnesty Policy does not in any way affect the calculation of your Satisfactory Academic Progress for financial aid purposes.

Reinstatement of Financial Aid

If you have lost financial aid eligibility due to failure to maintain Satisfactory Academic Progress, you may regain eligibility after enrolling and paying for classes that will allow you to meet the minimum GPA required and/or the minimum 2/3 cumulative completion rate required.  You must meet the minimum GPA required and/or the minimum 2/3 completion rate by the end of the next annual evaluation period (after the end of the spring term).  If you have only exceeded the maximum timeframe, you may possibly regain eligibility by being admitted to a program that is longer in length than your original program of study.  For example, if you were in an Associate in Arts program and are then admitted into a Bachelor's program of study, this would increase your maximum timeframe available.  It is important to note that this determination will be made based upon your program of study at the end of the spring term.  If you have extenuating circumstances and supporting documentation that explains why you failed to meet the Standards of Academic Progress, you may appeal for reinstatement. To petition the reinstatement of Federal Financial Aid, please submit the following:

  • Standards of Academic Progress Appeal form, which is available at:

  • Statement indicating reasons for failure to meet the financial aid Standards of Academic Progress and what has changed in your situation that will allow you to demonstrate satisfactory academic progress at the next evaluation period
  • Degree Audit
  • Degree Audit Update Form
  • Supporting Documentation
  • Individualized Educational Plan (Academic Plan)

Please note that financial-aid reinstatement will not be retroactive or apply to prior terms. All appeals must be submitted before the end of the term requested.  For example, you may not submit an appeal for the fall term after the fall term has completed.

The Campus Financial Aid Review Committee will review your appeal documentation to determine if you have met the conditions for reinstatement.

If your eligibility for federal financial aid is approved for reinstatement by the Campus Review Committee, you will be placed on a one-term probationary period. Your progress will be reviewed at the end of the probationary period and at the next official evaluation period.

If your appeal is approved, you must follow your Individualized Educational Plan (IEP).  Failure to follow your IEP for each semester may result in the loss of financial aid for future terms.  If you are unable to follow your IEP, you must contact the Financial Aid Office and the Advisement and Career Services Office.

You are responsible for all costs of attendance that were incurred during the period of your financial aid suspension.

If your appeal is denied, you may request review of your appeal by the Campus Financial Aid Director or designee for final review of the decision. For a previously denied appeal, you must submit additional documentation to the campus where the original decision was rendered.

"I understand that failure to follow my Individualized Educational Plan (IEP) may result in the loss of my financial aid. I understand that in order to receive financial aid, I must take the exact courses that appear on my IEP each semester. "
